Project Request

The Department of Agriculture, Land Reform, and Rural Development's Director General oversees overseeing all aspects of departmental administration. To fulfil the Department's mandate, he must make sure that the vision and mission are upheld in his capacity as accounting officer. The Chief Directorate: Strategic and Management Support is a support function that is linked directly to the Director General. Part of the Chief Directorate's core responsibilities is the recording, management, tracking, and tracing of incoming and outgoing Ministerial and DG submissions manually. The current system in use for the filing and submissions of documents are currently paper based making it difficult for the routing of documents within the department to reach the respective receivers of the documents. Having a paper-based system can be tricky when it comes to the submissions of documents as the department handles a lot of documents at once and it is easy for them to misplace certain documents making it difficult to keep track of.

Project Solution

 Our proposed system is an Electronic Document Management Solution that will aim to make the processes regarding the documents much more efficient to work with. We plan to automate most processes in this system so that the flow and routing of documents can reach the respective receivers in a quick amount of time. The users within the department will also be able to digitally sign a document as well as file and submit a document in the system according to the level of priority of the document. There will be document categories on the system whereby the users will be able to pick a certain category for a certain purpose as they have been currently doing so with the paper-based system. The system will remind the users of any submissions that need their approval or signature.
